Email, LinkedIn or Phone? Choosing a Channel per Lead

Not every lead reads email. How to decide which channel to use for each person based on where they actually respond.

Email, LinkedIn or Phone? Choosing a Channel per Lead

Most teams pick one channel and use it for everyone. Usually that is email, because it is easiest to send. But the founder of a ten-person company and the head of sales at a large one live in different places. The best channel is the one where this particular person answers.

The main options

Channel Best for Watch out for
Email Detailed first messages, most B2B roles Spam filters, crowded inboxes
LinkedIn Senior people, warming up before email Connection limits, low effort messages
Phone Small companies, urgent problems, follow-up Gatekeepers, bad timing
WhatsApp Markets where business runs on it Local rules, feeling intrusive

How to pick for each lead

Ask three questions.

1. Where can you reach them at all?

A channel you have no address for is not an option. Check the company website first: many small companies list a direct email, a phone number or a WhatsApp link on their contact page.

2. Where does this role spend its day?

  • Founders of small companies often answer phone and WhatsApp faster than email.
  • Managers in larger companies live in email and calendar invites.
  • Senior leaders are often easier to reach with a warm LinkedIn touch before an email.
  • Technical buyers prefer email with something they can read later.

3. What does the market expect?

In many markets, a cold phone call to a business line is normal. In others it feels rude. Some countries run business on WhatsApp; others reserve it for friends. Respect local norms and local rules.

Combine channels, do not repeat them

A good cadenceCadenceThe schedule of touches you send a lead over time, across one or more channels. often uses more than one channel, each doing a different job:

  1. Day 1: email with the main message.
  2. Day 3: a short LinkedIn connection note referring to it.
  3. Day 6: a phone call if a number is available.
  4. Day 10: a final short email.

What you should not do is send the same message on every channel on the same day. That reads as pressure, not interest.
